Choosing a feedback collection channel sounds like a straightforward procurement decision. It is not. The channel you pick determines who responds, when they respond, what they say, and whether the data you collect is fresh enough to act on. Get the match wrong — a QR code in a setting where no one pulls out their phone, a kiosk in a location with no floor traffic flow — and you end up with a feedback program that technically runs but produces no signal worth using.
The four primary channels available for physical-location feedback collection today are feedback kiosks, QR codes, SMS, and voice. Each has a distinct response profile, operational footprint, and ideal deployment context. None is universally best. The right choice depends on what you are trying to capture, where, and from whom.
Feedback Kiosks: The In-Moment Standard
A feedback kiosk — a dedicated touchscreen terminal positioned at or near the experience touchpoint — is the highest-performing channel for in-moment, in-location feedback. Response rates are significantly higher than any digital-only channel because the kiosk makes the act of giving feedback frictionless: the screen is already on, already asking, already in front of the customer as they complete the experience.
The core advantage is timing. Where kiosks break down: The physical infrastructure has a cost and an operational overhead. Kiosks need power, mounting, and occasional maintenance. QR Codes: Flexible but Dependent on Activation

That low barrier to placement makes QR codes attractive for businesses with many small locations, limited budgets, or contexts where permanent hardware is impractical.

A QR code depends on the customer choosing to open their camera, scan, and complete a survey — a multi-step action that most customers will not take unless they are either highly motivated (usually by a strongly negative experience) or the prompt is unusually compelling. When to use QR codes: QR codes work well as a complement to other channels rather than a standalone program. Where QR codes break down: In high-traffic, high-turnover environments — retail checkouts, healthcare check-outs, fast food — the conversion rate is too low to generate the sample volumes needed for operational decision-making. They also depend on smartphone ownership and willingness to scan, which creates demographic gaps in certain customer populations.
SMS: Post-Visit Depth at the Cost of Latency
SMS feedback collection sends a survey link to the customer's mobile number after the visit, typically triggered by a point-of-sale transaction, check-out, or appointment completion. It is the channel best suited to capturing considered, post-experience feedback — what the customer thinks once they have had time to reflect, or issues that only manifested after leaving the location.
SMS achieves relatively strong open rates compared to email, and because the survey is delivered to a personal device within minutes or hours of the experience, the timing is better than email-only programs. It also enables slightly longer surveys than a kiosk: where a kiosk works best with 1–3 questions, an SMS survey can accommodate 5–8 without dramatically degrading completion rates, allowing more granular follow-up questions.
When to use SMS: SMS is the right choice when the feedback event happens after the location visit — a delivery, a service completed at home, a product used for the first time, or a post-appointment outcome. Healthcare and automotive service are strong use cases: the patient or customer has left, but the assessment of whether the outcome was satisfactory often happens in the hours after. SMS is also effective as a follow-up to an in-location escalation, confirming that a recovery action was satisfactory.
Where SMS breaks down: SMS introduces latency. The in-the-moment signal is gone; what you are measuring is memory and reflection, which is shaped by what happened between the visit and the survey arriving. For operational feedback — did the staff behave appropriately, was the location clean, was the wait time acceptable — that lag is a meaningful degradation. It is also the right channel for high-value customer segments where the depth of feedback justifies the overhead — enterprise account check-ins, VIP guest follow-ups, complex service recoveries.
Voice also has a specific use case in accessibility: some customer populations — elderly customers, customers with visual impairments, customers with limited digital literacy — respond more naturally to voice prompts than to touchscreen or mobile survey formats. In healthcare and senior care especially, voice-based feedback collection can reach demographics that no other channel captures well.
Choosing the Right Mix for Each Location
The mistake most organizations make is picking a single channel and deploying it uniformly across every location type. Real feedback programs are multi-channel because different locations, customer populations, and feedback objectives require different capture mechanisms.
A framework that works in practice:
