Closed-Loop Feedback
Also called: close the loop, closing the feedback loop
Closed-loop feedback means acting on each piece of feedback that needs it, fixing the issue and, where possible, telling the person who raised it. Feedback that only ends up in a report is an open loop.

The inner loop and the outer loop
- Inner loop - fix this one. A low score or complaint reaches the person responsible, who fixes it and follows up. Measured in minutes or hours.
- Outer loop - fix the cause. Patterns across many responses reveal recurring problems - a staffing gap at lunch, a supply that always runs out - which are fixed in the process itself.
How to close the loop
- Set an alert threshold so real problems become alerts, not every single tap.
- Create a work order with the location and reason attached.
- Notify the owner by SMS, email or WhatsApp.
- Escalate to a supervisor if the SLA passes.
- Verify the fix and record how long it took.
- Follow up with the customer when you have their contact details.
Closed-loop feedback with Press'nXPress
Action Hub turns low scores into work orders, alerts the right person, escalates on SLA and records verified fixes, so every location's loop is measurable. See it applied in smart restroom management.
Frequently Asked Questions
What does it mean to close the loop on feedback?
It means every piece of feedback that needs action reaches an owner, the issue is fixed, and where possible the customer hears back. The loop is closed when the fix is confirmed, not when the alert is sent.
What is the difference between the inner and outer loop?
The inner loop fixes individual issues and follows up with customers, usually within hours or minutes. The outer loop fixes recurring causes - processes, staffing, layouts - based on patterns across many responses.
How fast should you close the loop?
As fast as the issue allows. On site, minutes matter because the customer is still there. Set a target time per issue type and escalate anything that is still open when it passes.
